I need to send a copy of my contract to the utilty company. This is relating to an easement issue that has come up. I realize that I should also enclose a brief letter so that whoever receives it knows what the contract relates to. Does my letter need to be formal? I was thinking I should put the date at the top, and of course the salutation, and my name at the bottom. Do I need anything else or is that good enough? Can I skip the part at the bottom where I indicate that there is an enclosure? I am just a homeowner sending it to the manager at the utility company. It's not like I'm a lawyer sending it there.

If it were me, I'd use a formal format; fair or not, you will be judged by this very important first impression, so make it work for you. Formality will demonstrate that this issue is important to you, and it should be important to them, as well.

Always be formal. If nothing else, it shows that you understand the rules of business etiquette and you mean business,

Thanks. Does anyone know of a website that shows the proper way to write a formal letter? I have a book here that shows how, but it's confusing me. I'm unclear about the headers (I think that's what they're called). It's the information that's right under the date, but above the salutation.

I'd also put your full name, and address, and possibly your e-mail addy and telephone number, above the date. Your customer account number, in boldface, should be above the salutation, or centered below it. It's helpful to indicate that there's an enclosure in case the letter and the copy of the contract get passed around.
